Introduction

When you send in a completed booking form, you’re entering into a legally binding agreement with Auburn Lens Media (referred to as “the Photographer”). This agreement may also include a substitute photographer of similar professional caliber in case of any unexpected situations. It’s important to note that this agreement takes precedence over any previous discussions, and any changes must be documented in writing and agreed upon by both parties (an email will do just fine).

Booking Fee & Final Payment

To secure your date, a non-refundable booking fee of £300 is required at the time of signing the contract. This fee locks in your selected photography package and date. The remaining balance should be settled no later than three months before the event or at the time of signing, whichever comes later. We highly recommend that clients consider taking out wedding or event insurance to safeguard against any unexpected cancellations.

Cancellation

If the Client decides to cancel after the 14-day cooling-off period, the booking fee will not be refunded. For cancellations made less than two calendar months before the event, the entire payment is non-refundable. All cancellations need to be submitted in writing.

 

Travel & Accommodation Travel is included for venues located within 100 miles of Birmingham, UK. For distances beyond that, mileage will be charged at 45p per mile. If an overnight stay is necessary, the Client is responsible for covering accommodation costs. During dinner or extended coverage, it would be great to have a private space for backing up images—there’s no need to provide a meal for the Photographer.

 

When it comes to Force Majeure & Photographer Availability, in the rare case of illness, severe weather, or unforeseen emergencies, Auburn Lens Media will do everything possible to find a replacement photographer who has a similar style and professional reputation. If we can’t find a suitable replacement, we’ll simply refund all payments made. At Auburn Lens Media, we uphold the highest standards when it comes to capturing, transporting, and processing all our photography work. If images are lost, damaged, or become unusable—whether due to technical issues or circumstances outside our control—our liability will be limited to the total fees paid for the photography package, or we’ll cover the reasonable cost to restage essential photos with the couple and their families later on. As for Liability, in the event of any technical failure that results in lost or damaged images beyond our control, our liability is limited to a refund of payments or the reasonable cost for a re-shoot (if that’s possible). We’re not liable for any indirect or consequential losses. Regarding Safety & Responsibility, please note that clients and their guests participate in photographic sessions at their own risk. The Photographer cannot be held accountable for personal accidents.

 

Photographic Style
At Auburn Lens Media, we capture each event with a candid, storytelling approach that beautifully combines spontaneous moments with elegant formal portraits. We encourage our clients to share a Different Shots List, detailing specific groupings, names, and relationships for those important professional images.

Feel free to suggest subjects or moments you'd like us to capture, either before or during the event. While we’ll do our best to honor these requests, the final selection of images will ultimately reflect the Photographer’s creative vision and isn’t guaranteed.

Given the unpredictable nature of weather, venue conditions, and guest participation, we can’t promise that every requested shot will be taken. We embrace artistic license when it comes to poses, composition, and location choices, trusting the Photographer’s judgment in crafting the final collection.

You’ll receive a thoughtfully curated and professionally edited gallery of high-resolution JPEG images. The number of final photographs will depend on the event's nature and flow.

Please keep in mind that all image dimensions are approximate. While we aim for accurate and visually appealing color tones, we can’t guarantee precise color matching due to variations in fabrics, lighting, and the limits of digital reproduction—especially with synthetic materials.

Image Editing & Delivery
Our images undergo professional editing for light, tone, and contrast. If you’d like additional retouching, that’s available for an extra fee. You can expect your edits to be delivered within 3–6 weeks; however, unedited RAW files won’t be provided.

Copyright & Usage
The Photographer holds full copyright of the images. Clients are granted a license to reproduce the images for personal use. For any commercial or third-party use, written permission is required. Auburn Lens Media may use selected images for our portfolio, social media, exhibitions, or promotional materials, always respecting the Client’s privacy.

Venue Access
Photographer access might be limited by the venue staff or ceremony officials. It’s the Client’s responsibility to check in with the venues to secure the necessary permissions.

Exclusivity & Guest Photography
Auburn Lens Media is the only professional photographer at the event. Guests may be kindly asked to hold off on taking photos during key moments if it interferes with our coverage or the overall quality.

Conduct & Wellbeing
Any form of verbal or physical abuse directed at the Photographer will lead to an immediate termination of services, and no refunds will be provided.

Governing Law
This agreement is governed by the laws of England and Wales. If any part of this contract is found to be invalid, the rest will still remain in effect.
