1. Introduction

By sending a completed booking form, the Client enters a legally binding agreement with Auburn Lens Media (“the Photographer”), which may include a replacement photographer of equivalent professional standing should unforeseen circumstances arise. This agreement supersedes all prior discussions, and any amendments must be made in writing and accepted by both parties (email is acceptable).

 

2. Booking Fee & Final Payment

To reserve your date, a non-refundable booking fee of £300 is needed upon contract signing. This fee secures your chosen photography package and date. The remaining balance is due no later than three months before the event or upon signing, whichever is later. Clients are strongly recommended to take out wedding or event insurance to protect against unforeseen cancellations.

 

3. Cancellation

If the Client cancels after the 14-day cooling-off period, the booking fee is non-refundable. For cancellations less than two calendar months before the event, the full payment is non-refundable. All cancellations must be made in writing.

 

4. Travel & Accommodation

Travel is included for venues within 100 miles of Birmingham, UK. Beyond this, mileage will be charged at 45p per mile. Accommodation costs must be covered by the Client if overnight stay is necessary. During dinner or extended coverage, a private space for backing up images is appreciated—no meal is required for the Photographer.

 

5. Force Majeure & Photographer Availability

In the unlikely event of illness, severe weather, or unforeseen emergencies, Auburn Lens Media will make every effort to secure a replacement photographer of comparable style and professional standing. If a suitable replacement cannot be found, our liability is limited to a full refund of payments received.
Auburn Lens Media maintains the highest standards in capturing, transporting, and processing all photographic work. Should images be lost, damaged, or given unusable—whether through technical malfunction or events beyond our control—liability will be limited to the total fees paid for the photography package, or the reasonable cost of restaging essential photographs with the couple and their families at a later date.

 

6. Liability

In case of technical failure, loss, or damage to images beyond our control, liability is restricted to the return of payments or the reasonable cost of a re-shoot (if feasible). No responsibility is accepted for indirect or consequential loss.

 

7. Safety & Responsibility

Clients and guests participate at their own risk during photographic sessions. The Photographer cannot be held responsible for personal accidents.

 

8. Photographic Style

• Auburn Lens Media documents each event in a candid, storytelling-driven style, blending spontaneous moments with elegant formal portraits. Clients are encouraged to provide Different Shots List outlining specific groupings, names, and relationships for formal professional images.
• Suggestions for subjects or moments to capture may be shared before or during the event. While every effort will be made to honour these requests, the final image selection is guided by the Photographer’s creative judgement and is not guaranteed.
• Due to the unpredictability of weather, venue conditions, and guest participation, Auburn Lens Media cannot ensure that every requested image will be captured. Artistic licence is granted in terms of poses, composition, and location choices, and the Photographer’s discretion will be respected in deciding the final body of work.
• The client will receive a carefully curated and professionally edited gallery of high-resolution JPEG images. The quantity of final photographs will vary according to the nature and flow of the event.
• All image dimensions are nominal. While Auburn Lens Media strives for exact and visually pleasing colour tones, precise colour matching cannot be guaranteed due to variations in fabrics, lighting, and digital reproduction limits—especially when synthetic materials are involved.

 

9. Image Editing & Delivery

Images are professionally edited for light, tone, and contrast. Additional retouching is available at an extra cost. Edits will be delivered within 3–6 weeks; unedited RAW files will not be shared.

 

10. Copyright & Usage

The Photographer retains full copyright. Clients are licensed to reproduce images for personal use. Commercial or third-party usage requires written permission. Auburn Lens Media may use select images for portfolio, social media, exhibitions, or promotional materials—with respect to the Client’s privacy.

 

11. Venue Access

Photographer access may be restricted by venue staff or ceremony officials. The Client is responsible for consulting with venues to ensure necessary permissions.

 

12. Exclusivity & Guest Photography

Auburn Lens Media is the sole professional photographer at the event. Guests may be politely asked to refrain from photographing key moments if it obstructs coverage or quality.

 

13. Conduct & Wellbeing

Verbal or physical abuse toward the Photographer will result in immediate termination of services with no refund issued.

 

14. Governing Law

This agreement is governed by the laws of England and Wales. If any provision is considered invalid, the remainder of the contract remains effective.
